What a facility management plan should include

The components that turn a list of services into an operating plan you can manage and improve.

A facility management plan describes what gets done, by whom, when and how it is reported. Without these four pieces, services drift and accountability blurs.

Scope

Start with a clear inventory: buildings, systems and assets included in the plan. List what is explicitly excluded too — clarity here prevents disputes later.

Service catalog

  • Maintenance services and their frequencies
  • Cleaning and disinfection scope per area
  • Critical-system inspections and reports
  • Response procedure for urgent events

Roles and contact points

Name the operational point of contact on both sides. Document who approves work orders, who receives reports and who handles emergencies after hours.

Reporting cadence

Define what reports are produced and how often: monthly operations summary, quarterly KPI review, annual condition assessment. The cadence should match the user's appetite for detail.

Continuous improvement

A good plan is reviewed periodically. Scope, frequencies and protocols evolve as the facility ages, technology changes and the organization grows.
